For the rest of the meeting we discussed the individual responses to each of the questions they had been asked to think about overnight. Apart from one or two questions, it was evident that the scenarios caused minimal concern and instead were simply of interest, but more importantly, the staff really appreciated hearing about them. During these sessions we checked in with everyone to gauge their reaction to the scenarios.

The UBS Team can be broken down into three smaller sub-teams according to their role, so the next day we held follow-up sessions with each sub-team.

During the meeting, we also worked through a series of questions, as follows: What is important to the UBS Admin Office? What is important to my group? What is important to me? For each question we then asked why? In addition, we asked: What is not important to the UBS Admin Office? What is not important to my group? What is not important to me? This was followed by asking: What can we do differently? What can’t we do and why? What is worrying me? Why? We then held a Microsoft Teams meeting and shared the four University COVID-19 scenarios with them, produced in conjunction with the o urcambridge team, including the rationale behind their development and use. Ahead of the meeting we sent everyone a link to the Government advice about preparing to return to the office workspace to ensure they were up to date with the latest guidance. We introduced at one of our weekly catch-up meetings with the whole Team that we planned to arrange a meeting to discuss the University Covid-19 scenarios.

We wanted to listen to their views, address their concerns and involve them in decisions regarding arrangements. Our aim was to make staff feel confident about returning to work by helping them understand the steps we were taking to ensure their safety and the processes we would put in place to protect them. In the middle of May we started to think about what a return of UBS staff to their office workspace in Greenwich House, following the COVID-19 lockdown in March, might entail. This led to a mutually agreed solution and also helped build engagement and trust. When the UBS team needed to plan for staff to return to work, they involved them in decision-making and listened to their concerns and ideas.
